1. What we collect
If you're just browsing the board, we don't collect any personally identifying data. We do keep basic, aggregate usage analytics: which pages get visited, what device type (mobile, tablet, desktop), a country-level location derived from your IP address, which searches are run, and which listings get an "Apply" click. We never store your IP address, any cookie, or anything else that could tie this activity back to you individually or across visits (see section 4 for exactly how the location lookup works). Our hosting provider may separately log standard technical request data as part of normal server operation, the same as any website.
If you submit a role through "Post a job," we collect the job details you provide and your email address. Your email is used only to review the submission and to contact you about it if needed; it's never shown publicly on the board.
If you use "Check your CV," your uploaded file (and any job description you paste alongside it) is read entirely in memory to generate your report. It is never written to disk, never stored in our database, and is discarded the moment your results are returned. We have no record of your CV, its contents, or anything it contains after your browser receives the response.
If you create a designer account, we collect your email address, a password (stored as an irreversible hash, never in plain text), and whatever profile details you choose to add: your name, a handle, a professional headline, a bio, your job function(s), your skills, your years of experience, your availability status, your location, a profile photo, links to your portfolio or social profiles, and optionally a phone number and public contact email.
If you apply to a role through Kazi — which only some employer-posted listings offer, and each one says so before you start — we collect what you send: anything you write in the application, your answers to the employer's screening questions if the listing has any, and your résumé if you attach one. That, along with your name, your account email and a link to your profile, is passed to the employer who posted the role. Nothing else from your account goes with it.
2. Designer profiles: what's public
This is the one part of Kazi that's built around showing personal information publicly on purpose, so it's worth being explicit about the line. Your email address and password are never shown to anyone and are never public. Once you submit your profile and an admin approves it, everything else you've added, your name, handle, professional headline, bio, job function(s), skills, years of experience, availability status, location, photo, links, and (if you choose to add them) a phone number and a public contact email, is shown publicly on your profile page and in the designer directory, exactly as you wrote it. Your handle also becomes part of your public profile's URL. Phone and contact email are optional and separate from your private login email; leave them blank and nothing is shown. Editing an approved profile takes it back out of the public directory until an admin reviews the changes, the same review step every profile goes through before it first goes live.
You can delete your account at any time from your account page. This permanently removes your login, your profile, your photo, your links, your work and experience, your saved roles and searches, your applications, your follows and every message you have sent.
Two things are not removed automatically, and it is worth being exact about why. Anything you posted in the community stays up, because a question carries the replies other people wrote underneath it and deleting yours would delete theirs; your name comes off it. Pay figures you contributed stay in the aggregate pay data, where they were never attached to your name in the first place. Email us and we will remove those too.
3. How we use it
Submission details are used solely to review and, if approved, publish employer listings, and to reach out about a specific submission. Designer account details are used to run your login and, once approved, to display your public profile. Usage analytics are used to understand which parts of the board are useful and to prioritize what we build next. We don't use any of this for marketing or advertising, and we don't sell it.
There is one place we share personal data on purpose rather than as plumbing: if you apply to a role through Kazi, your application goes to the employer who posted it. That is the point of sending it, and it only ever goes to that employer and their teammates on Kazi. We never screen, score or rank applicants, and we take no fee from either side. Our terms require employers to use an application only to consider you for that role. You can withdraw an application from your dashboard, which removes it from their list.
Otherwise we don't share anything with third parties beyond what's needed to run the site (our hosting provider, and Resend, which delivers our account emails like email verification and password resets).
4. Where it's stored
Submissions, designer accounts, and analytics are all stored in a database on our hosting infrastructure (Fly.io). Profile photos are stored on the same infrastructure, resized and compressed before they're ever saved. Submissions are kept only as long as needed to review and manage the listing. Analytics records are kept for 90 days, then automatically deleted. Designer accounts are kept until you delete them. Applications are kept until you withdraw them or close your account, whichever comes first.
5. How the location lookup works
To show a country-level location in analytics, your IP address is checked against a local, offline lookup table on our server (the same one used by the site to route the request). Your IP address itself is never stored, logged, or sent to any third party; only the resulting country name is kept. That lookup table is derived from the free DB-IP "IP to Country Lite" database, used under a CC BY 4.0 license.
6. Cookies and local storage
See our Cookie Policy for the full picture. In short, Kazi doesn't use tracking cookies. We use your browser's local storage only for your light/dark theme preference and, if you have an account (admin or designer), to keep you signed in.
7. Your rights
You can ask us to access, correct, or delete data you've submitted at any time: hello@odana.design. If you have a designer account, you can also correct or delete your own data directly from your account page at any time, without needing to ask us.
8. Changes to this policy
We may update this policy as the site evolves.
